Senior Administrative Assistant in Solana Beach

Enables the Partners (executive team) of the Firm to work most effectively with and fulfill commitments to internal and external stakeholders. Employs strategic-thinking, business acumen and emotional intelligence as the executive team’s ‘trusted counsel.’ Supports the entire executive team to help coordinate the essential activities of the business. Will provide support to the executive team as the central correlator of company commitments, attending to the finite details while staying attuned to the macro vision of business operations.

The Senior Administrative Assistant must be exceedingly well organized, flexible and enjoy the administrative challenges of a fast-paced, energetic environment, sometimes under pressure. The ideal candidate is proactive, resourceful, and efficient and must maintain a high level of professionalism and confidentiality. The Senior Administrative Assistant must and have expert level written and verbal communication skills, strong decision-making ability and attention to detail.

Job Functions & Responsibilities:
Responsibilities will include:

  • Prepare and facilitate meetings involving the executive team ensure that meeting preparation is appropriate, and that the executive team is well-prepared so that the team’s time is leveraged most effectively in a meeting context.
  • Manage the schedules and calendars for the executive team of the company and ensure deadlines are being met; record meeting details and keep careful track of commitments and schedules, including coordinating meetings and travel.
  • Develop and maintain an inventory of critical path projects in which the executive team is especially interested and/or for which their awareness and involvement is essential.
  • Handle information of a highly confidential and critical nature appropriately.
  • Work collaboratively with all members of the executive team and provide assistance as needed.
  • Obtain, assemble and analyze information and data from a wide variety of sources in order to prepare presentations reports, agendas and correspondence. Ensures accuracy of outgoing material.
  • Compose and edit professional correspondence, and other communication materials.
  • Prioritize and manage multiple projects simultaneously, and follow through on issues in a timely manner.
  • Interface with staff at all levels of the organization as well as clients and partners.
  • Assist with and coordinate responses to Request for Qualifications (RFQs and Request for Proposals (RFPs) as needed.
  • Coordinate special projects (team events etc.).
  • Communicate and handle incoming and outgoing electronic and phone communications.
  • Provide general administrative support for the office and ensure office supply, food and beverage inventories are maintained.

Qualifications (Required)

  • Highly proficient in Adobe InDesign
  • Knowledge of page layout and design standards (particularly for large text documents) with the ability to write in a variety of styles
  • Proofreading, formatting, writing, and editing skills
  • Willingness and confidence to offer opinions and direction to all levels within the Pursuit Team.
  • Ability to use deductive reasoning and problem-solving skills to address challenges independently, while knowing when to get management-level advice.
  • Excellent planning and organization skills needed to coordinate the activities of various team members while also holding team members accountable and prioritizing tasks.
  • Tact, diplomacy, and persistence are essential qualities in executing this dimension of the role
  • Proficiency with MS Office, including intermediate-advanced skills with Outlook, Word, Excel & PowerPoint. Experience with Adobe InDesign is preferred.
  • 5+ years administrative experience required, previous experience supporting C level executives is ideal.
  • Ability to appropriately handle critical information and sensitive situations in a timely manner.
  • Flexibility to handle a variety of tasks and shift priorities simultaneously.
  • Self-motivated, enthusiastic and customer service oriented.
  • Excellent organization and time management skills.
  • Ability to effectively interact with all levels of staff and external contacts; ability to work as an effective team member.
  • Strong level of initiative and ability to work with minimum supervision.

Openings for Designers, Project Designers, Associates and Senior Associates

OJB is currently accepting applications from Designers with 2-4 Years of experience, Associates with 4-6 years of experience and Senior Associates with 6+ years of experience including demonstrated success in project delivery and construction.


  • A Bachelor or Master of Architecture or Landscape Architecture
  • Employment history in a fast-paced, design-driven studio environment (if applicable)
  • Experience working with project teams to produce bid documents for complex projects
  • Demonstrated technical skills, an attention to detail and problem solving ability
  • Proficiency with AutoCAD, Adobe Creative Suite, SketchUp and MS Office
  • Familiarity with VectorWorks, Revit Architecture and/or Rhinoceros is a plus
  • Professional licensure preferred but not required for Associate
